Incoming Mail and Packages
- The Mail Center receives mail and packages from UPS, USPS, FedEx, Amazon, DHL and other carriers both domestic and international.
- Inter-campus mail is distributed throughout the day.
- The United States Postal Service delivers mail to the Mail and Copy Center by approximately 12:00pm. The mail is sorted and delivered to the staff and faculty mailboxes by approximately 1pm. Student mail is sorted to the mailboxes by the end of the day.
- Faculty and staff receive a pink slip in their mailbox when an oversized package has been delivered. Students are notified of packages via a white “Package Slip” placed in their mailbox. Should Faculty/Staff/Student receive a perishable item (ie: flowers, food, refrigerated item, etc.) we will also notify you via e-mail address on file.
- Students need to have their Student ID and Package Slip with them in order to pick up their package.
- UPS, FedEx, DHL, Amazon and other carrier packages are delivered to the Mail Center throughout the day; there is not a set schedule for these deliveries. Please understand that while you may receive an instant e-mail notice from the shipper that your package has been delivered, it does take time to sort and process the packages.
Incoming Freight Shipments
- Departments that are expecting to receive large freight shipments, please notify the Mail and Copy Center in advance. Please indicate as to:
- Shipper information
- Order details
- Contact information
- Delivery location (i.e. Delivery at Hicks Student Center, Delivery at Dalton Lobby, etc) including any address information to give to the delivery driver
- Estimated Delivery Date and Time

Formatting Tips
- Letters: Place the sender’s name and address in the upper left corner and the recipient’s name and address in the bottom center of the envelope. Please leave at least 5/8″ from the bottom edge of the envelope for USPS processing. (Standard letter dimensions and limits: Height: Minimum 3 1/2 inches | Maximum 6 1/8 inches; Length: Minimum 5 inches | Maximum 11 1/2 inches; Thickness: Minimum 0.007 inches | Maximum 1/4 inch; Weight: Maximum 3.5 ounces. (If your letter exceeds 3.5 ounces, it is automatically priced to a Large Envelope.)
- Postcards: Postcards come in different formats, so write the delivery address in the space provided. This is typically the same side as the written message to the recipient. Place a postcard stamp in the upper right corner. (Standard postcard dimensions: Minimum Height 3 1/2 inches | Maximum Height 4 1/4 inches; Minimum Length: 5 inches | Maximum Length 6 inches; Minimum Thickness: 0.007 inches | Maximum Thickness: 0.016 inches)
- Large Envelopes: Place the sender’s name and address in the upper left corner and the recipient’s name and address on the right half of the envelope. (Large envelope dimensions and limits: Minimum Height: 6 1/8 inches | Maximum Height: 12 inches; Minimum Length: 11 1/2 inches | Maximum Length: 15 inches; Minimum Thickness: 1/4 inches | Maximum Thickness: 3/4 inches) (Rigid items: If a large envelope is too rigid or contains a bulky item, it is automatically charged at the package postage rate.)
- Use 2 letter state abbreviations, print neatly in capital letters. If typed, use at least a 12 point sans serif font, use a pen or permanent marker, do not use commas or periods, and include the ZIP+4 whenever possible.
- If both the street address and the Post Office box are listed on the same address line, the mail piece will be delivered to the PO box. (Note: UPS, FedEx and other private carriers will not deliver mail/packages to a PO box).

Tracking Options
- Outgoing mail and packages can sent using a tracking number. Carriers such as UPS and FedEx will automatically include a tracking number with the envelope or package. The USPS offers a variety of options for tracking, including: Certified mail (with or without Return Receipt), Registered Mail, Insured, Ground Retail Advantage (package use only), Priority Mail, and Priority Mail Express. Contact us on which option will best fit your specific needs or with any questions.
- Outgoing FedEx packages are subject to a pick up fee. Same day pick up fee is $17.75 and the future day pick up fee is $10.85. Packages can also be dropped off at a FedEx facility. See FedEx locations listed below.
Helpful Hints
- Use proper, secure packaging, don’t advertise what is inside.
- Never send cash or coins in the mail. Use checks or money orders.
- When ordering through Amazon and other 3rd party delivery services, try to make sure your order is not being delivered on a Saturday or Sunday. You can also include “please deliver Monday-Friday from 9am-5pm” in the special delivery instructions box. This will help ensure your item is not mis-delivered, lost, or stolen if left outside the building.
- Take advantage of the Amazon Lockers located on the lower level of the Hicks Student Center near the Computer Lab. When ordering via Amazon, select delivery to an Amazon locker – Komodo; Kalamazoo College Hicks Center, 1200 Academy St, Kalamazoo, MI 49006. Once the package has been delivered, Amazon will send you an email with a pick up code. Enter the pick up code or scan barcode into the Amazon Locker system, then the assigned locker door will open. Retrieve the package and close the door. The Amazon Locker will hold your package for 3 days. After which, the package will be returned to Amazon.
- Packages not claimed in Mail Center after 2 months will be returned to sender, disposed, or donated.
Departmental Mail and Packages
- All outgoing departmental mail and packages must provide the 8-digit account number to be charged. Postage will be charged via Touchnet at the end of the month. The budget manager for each department will receive an email of the monthly postage charges. Please either write the account number on the mail piece, or provide the number on a separate piece of paper. There are account slips near the mail slots to the right of the Mail and Copy Center window for your convenience.
- Outgoing department mail should be rubber banded together and dropped in the drop box around the corner of the Mail Center window. If the mailing is too big for the drop box then please bring to the Mail and Copy Center window.
- Mail and packages can be shipped using UPS, USPS or FedEx and billed to your department account number.
- Outgoing FedEx packages will be charged with a FedEx pick-up fee. The fee will vary depending on urgency of FedEx pick up. Charges are $10.85 for future day pickups and $17.75 for same day pickups. FedEx packages can also be dropped off at any FedEx drop off location free of charge.

Student Mailbox Information
- Student mail and packages should be addressed in the following format:

- Your mailbox number and combination are emailed to you the summer before your first year. This information can also be found after logging into the Kalamazoo College portal, The Hornet Hive, starting in August. You will keep the same mailbox during your tenure at Kalamazoo College.
- To open your mailbox:
- Turn dial left, for a few rotations. This will reset the combination lock. Then position the pointer at the first number.
- Turn dial right, past the first number once, then stop at the second number.
- Turn dial left directly to the last number.
- Turn dial slightly to the right and pull the door open.
Products and Services
- The Mail and Copy Center offers other services, including: purchasing mailing supplies, print credits, postage stamps, bus tokens, fax services, premium black and white, and color copy services.
- We also offer boxes and envelopes from UPS, FedEx, and USPS free of charge. Please note that these are only to be used as printed on the envelope/box. For example, an envelope labeled Priority Mail Flat Rate Envelope, can only be used when sending with the USPS at the Priority Flat Rate.
- We supply mailing tubes for purchase. These are especially useful for shipping rolled posters, art prints, blueprints, large photographs, maps and banners.
- Need help processing your return packages? We typically have boxes and packing materials available free of charge. Simply bring your return item and return label and we can do the rest. If you are unable to print your return label, we can print it for you. There will be a small charge to print the label. Please note: We can not process returns with a QR code.
